Our appointment setting process has been developed as a response to feedback and evolving needs of our clients, reworked and perfected from time to time. It is composed of six basic steps:
1. Preparation
Before the campaign, we make sure we understand what we are trying to achieve, ascertained by meeting with the client and discussing their objective. We make sure that everything is ready before making the first call: agents call guide, and business list.
2. E-mail Marketing and Cold Calling
We combine these two tools to reach a wider market. Before making the call, we blast e-mail to potential clients from our privacy-compliant leads database* to prompt prospects that callers will be contacting them. During each call, we introduce ourselves and the company we represent (your company) to the prospect and seek to establish a relationship of trust. We make no attempt to sell a product or service at this point.
During a cold call, we seek a very important pre-requisite to setting a qualified appointment – possible business match-up between the client and the prospect ascertained through smart questioning and qualification. We make sure that the prospect understands the value they will get from the client’s product or service.
If a prospect expresses interest by replying to our email, we still use the phone to confirm the quality and validity of the lead. This way, we identify qualified leads that will be scheduled for appointment.
3. Quality Assessment/Lead Verification
Our Quality Assurance Analysts carefully verify each lead. Leads that do not measure up to quality assessment standards are set aside for follow-up calls until they are ready.
4. PIPELINE CRM UPDATE
Once these business leads are verified, they are uploaded to our online portal, the PipelineCRM. You can access and use PipelineCRM to keep track of the entire appointment setting process. From there, you can download real time reports on the status of each lead or listen to the recording of each call we make.
5. Setting the Appointment
When the prospect is ready, we offer to set an appointment for them to meet with the client. We remind the prospect of the value of the meeting to make sure they understand that they would benefit from it. We set all appointments through live interaction to keep the reliability and high-quality of generated sales leads.
6. Appointment Confirmation
We make a confirmation call to the prospect a day before the date of meeting to remind them and confirm their availability
